Housing & Recreation Office Lead Worker

 

Position Summary: The Housing & Recreation Coordinator provides general support to Housing Department and coordinates events and recreational trips for employees every month. Provides pick-up and drop off services for newly arriving employees throughout the season. . Provides exceptional guest service to all internal guests.

Duties include assisting with Housing orientations, conducting Housing check-ins/check-outs and also include driving company vehicle for scheduled pick-ups and recreational trips and other duties as assigned. Working hour must be flexible as events are held during the day, nights and weekends.


ESSENTIAL FUNCTIONS: 

Pre-Season
• Checks keys to make sure they all still work
• Inspect rooms for things that haven’t been fixed during the off season and report them to the Housing Manager
• Prepare linen packets for the J1s and place in Dorm 4, 5, and 6
• Help Housekeeper stock toilet paper and shower curtains in all dorms and bunkhouses

Post-Season
• Finish filing from season
• Conduct Final Inventory of Dorms
• Start making linen packets for following season

HR Driver
• Drive company shuttle van to pick-up or drop-off arriving/departing employees (10-12 hour day)
• Drive shuttle trips to Social Security Office as necessary
• Accompany employees to Walmart, LabCorp, lunch, etc. and maintain appropriate departure schedule

Housing Check-in
• Fill out Housing Acknowledgments
• Explain Housing Policy
• Hand out key to assigned room
• Collect deposit fees
• Tell Housing Manager and/or Maintenance if the new EE has any repairs needed in room.

Housing Check-out
• Schedule employees for check-out appointments
• Hand out checklists and explain checkout requirements
• Do checkout paperwork with EE
• Room inspections
• Hand J1’s Security Deposit refunds or ask Housing Manager to request it

Mail
• Accept, sort, and log mail from USPS, FedEx, UPS, and interoffice mail
• Checkout mail to employees with credentials

Meal Cards
• Issue Manager and Employee Meal Cards
• Monitor the Meal Card Log and send to LPA at the end of every pay period

Uniforms
• Unpack when delivered
• Check out Uniforms to employees
• Maintain a Uniform Log
• Send updated Uniform Log to Purchasing every Friday

Soda machine
• Fill machine with drinks as needed
• Collect and count money
• Deposit funds
• Make minor repairs when needed

Deposits
• Update spreadsheet in Housing Spreadsheet
• Keep record of deposits
• Deliver deposit to Lodge

Activities/Events
• Create, schedule, plan and coordinate events for employees every month
• Send calendar to Housing and Recreation Manager for approval and dispersing prior to the first of the month
• Coordinate with companies through email/phone/in person to set up and carry out scheduled events
• Create spreadsheet and flyers for all events
• Drive company vehicle to events/trips with employees
• Monitor employees during events/trips to ensure their safety and their actions have a positive reflection on Aramark
• Answer any questions any employee has regarding events

Recreation Equipment
• Monitor the Equipment check-out log
• Collect delinquent items
• Maintain an inventory
• Alert Housing Manager when items need to be replaced

Other Tasks
• Keep Housing files current
• Answer EE and Guest questions
• Submit maintenance requests to Manager or Maintenance Department
• Help Housekeeper with duties when they are is busy or absent
• Have a thorough understanding of Housing Policy and current status

SCOPE:  This position reports to the Housing Manager and strives to ensure all employees are provided with excellent customer service. Must be able to work with a diverse workforce and develop professional relationships with department managers, employees and vendors. Must adhere to all company policies and procedures.

Qualifications:

QUALIFICATIONS: 

  • 1-2 years’ experience planning and running events and/or recreational trips
  • Valid US driver’s license and excellent driving record
  • Good administrative and organizational skills with excellent attention to detail and strong time management abilities
  • Good communication skills and the ability to deal effectively with a wide variety of company personnel and vendors
  • Professional, friendly demeanor and great patience is required at all times
  • Excellent customer service skill
