Job Summary - This role is a key member of the Business Resource Center (BRC), Aramark’s in house team focused on the development and delivery of high quality sales communication. We support the global salesforce’s efforts to drive growth and win record levels of new business. The team is creative, collaborative and dedicated to fueling the growth of the company. The BRC is based in the historic Wanamaker building at headquarters in Philadelphia, PA.


Reporting to the Proposal Manager, Proposal Lead Coordinators are the day to day relationship facilitators between an assigned set of salespeople and the Business Resource Center (BRC). They are the glue that holds together the successful development and delivery of our responses to Requests for Proposals (RFP, RFI, RFQ) and additional sales documents including, but not limited to, presentations, tour books, brochures, and menus. 


Our best Lead Coordinators excel in developing strong relationships with their internal clients, facilitating effective communication, project managing, and adhering to proven repeatable work processes. They are champions of process and prepare checklists and work plans. Obsessed with meeting the details of the bid schedule, they exhibit a sense of urgency and deliver high quality documents. They work well independently and in a team setting.


Lead Coordinators will lead, mentor and develop assigned Proposal Coordinator’s. They will assist the Proposal Manager in assigning resources to complex proposals and projects. They will evaluate the talents of their assigned teams and offer development opportunities when required as well as provide input to Proposal Manager on performance and development. They will assure that all processes of the business are adhered to and will communicate and changes or updates of these set processes.


Lead Coordinators are experts on more than two lines of business and take a leadership role on their team. They have additional “First Draft” and “100% Quality Control Check” review responsibilities, content management expertise, and training and mentoring is their passion. They are highly flexible in taking on additional tasks and creative assignments. Besides supporting their assigned sellers, they work on the most complex selling and department projects.   


Core Job Duties/Responsibilities


  • Leadership – Proposal Lead Coordinator will be 1 of 4 of this position in the Business Resource Center. Leadership responsibilities include heading up a team of between 5 and 7 Proposal Coordinators based on Line of Business knowledge and experience. Core duties and responsibilities fall within the mentorship and development of their assigned coordinator team through complex proposals and projects and well as adherence to corporate branding, voice and style guides. Proposal Lead Coordinators are also champions of project management and proposal process management/direction.


  • Client Relationship – Proposal Lead Coordinators client relationship levels are integral to this positions responsibility set. The Lead Coordinator will have direct interaction with both sales representatives and the external sales support teams for proposals and projects and serve as a gold-standard example of customer service and service excellence to their assigned coordinator reports.

  • Compliance – Proposal Lead Coordinators are dually responsible for all corporate branding, voice and style guides across the projects they and their teams are responsible for.

  • Produce sales proposals, RFPs, presentations, client reports and other internal and external support materials.
  • Lead a team of assigned Proposal Coordinators.
  • Assist in the assignment of proposals and projects.

  • Mentor individuals through the challenges of complex proposals and projects.
  • Format and apply style guides, interpret and apply brand voice and standards

  • Experience – 3 to 5+ years of relevant professional experience.


  • Education - Degree in design, business, or communications, or comparable work experience.

  • 3 to 5+ years of relevant professional experience.
  • Advanced knowledge Microsoft Office, InDesign and Adobe Creative Suite.
  • General knowledge of Qvidian or another content management system.
  • Portfolio of relevant marketing or sales materials is required at interview stage.
